Who we are
KJN Events is the trading name of Keira Neal. Keira is responsible for your personal information (the “controller” under UK data protection law).
Email: keira@kjnevents.co.uk
What we collect and why
Enquiries (website form or email). Your name, email address, phone number if you give one, and what you tell us about your event, such as the date, place, number of guests and ideas. We use it to reply and to plan your event. Lawful basis: contract, or our legitimate interest in providing what you have asked for.
Planning and running your event. Venue details, timings, supplier details, and contact details of the people we work with on your event. Lawful basis: contract, or our legitimate interest in providing what you have asked for.
Guests and dietary needs. We do not keep guest lists or details of individual guests. If dietary needs matter for planning, we note numbers only (for example, “two nut-free”), not names. Please pass any guest’s allergy or medical details directly to your caterer or venue.
Payments and records. Invoices and payment records (name, what we provided, amount and date), which the law requires us to keep for tax. We are paid by bank transfer. We do not take card payments or store card numbers. Lawful basis: legal obligation, and our legitimate interest in keeping proper business records.
Photos. We photograph our set-up and styling. We do not publish a photo showing someone’s face unless they have agreed (a parent’s agreement for anyone under 18), and we never publish a photo that identifies a private home. You can withdraw your agreement at any time by emailing us, and we will remove the photo from our website and accounts as soon as we can.
Reviews and quotes. We publish a client’s comments about us only with their agreement.
This website. Enquiry form entries are emailed to us and held in the website’s admin area. We use only the cookies needed to make the site work and keep it secure. We use Jetpack Stats, run by Automattic (the company behind WordPress.com), to count visits so we can improve the site. It uses your IP address, browser details and the pages you visit. Automattic keeps these details for 28 days, and we only see totals. We do not use advertising cookies. Our host, WordPress.com (Automattic), receives technical information such as your IP address when you visit. The pages load their fonts from jsDelivr, a free font delivery service, which also receives your IP address and browser details. Lawful basis: our legitimate interest in running a secure website.
Marketing. We do not send marketing emails. If that changes, we will ask for your agreement first.
Who we share it with
We never sell your information. We share it only with:
- providers who handle it on our behalf: WordPress.com (website and enquiry form), Microsoft (email and files), AI tools we use to help plan events and draft documents (we never put health information into them), QuickBooks (invoicing)
- suppliers and venues for your event, only what they need
- people who help us run the business
- our accountant and HMRC, where the law requires
Some providers are based outside the UK, mainly in the USA. Where your information is transferred, we rely on the safeguards our providers put in place under UK data protection law.
How long we keep it
- Enquiries that do not go ahead: up to 12 months after our last contact
- Event records: 12 months after the event
- Invoices and payment records: at least 5 years after the 31 January tax return deadline for that year, as HMRC requires
- Photos on our website: until you ask us to remove them
Your rights
You can ask us to give you a copy of your information, correct it, delete it, restrict how we use it, move it to another provider, or stop using it where we rely on our legitimate interests. Where we rely on your consent, you can withdraw it at any time. We do not make automated decisions about you. To use any of these rights, email keira@kjnevents.co.uk.
Complaints
If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint, or on 0303 123 1113. We would be glad of the chance to put things right first.
